Enhanced Customer Experience

The V-DOCS paperless contract solution provides a customer experience that aligns with technological nature of a device purchase.  V-DOCS also provides a highly visible  environmentally conscious process for customers; create goodwill while actually saving money. Processing times are also lowered considerably because of the automated generation of the customer contract that bypasses any printing and the complications associated with that; additionally customers are prompted through an automated signing workflow. Customer service is further improved through contract availability, condensing the time normally attributed to contract retrieval.

Contract Management

From within the V-DOCS content management system (or “Vault”) the agreement may be retrieved by a user with appropriate security credentials.  The V-DOCS Vault manages all aspects of the V-DOCS application. Companies, stores, and terminals are all created here.  Each terminal is assigned a unique registration key which is used to authorize that station to submit documents.  The Vault is a web-based application with tight security controls.

Through a secure, centralized repository, carriers and distributors are able to retrieve original signed contracts and ancillary documents quickly and effortlessly, bringing rapid resolution to disputes that could otherwise result in lost revenue.

The electronic platform allows for easy storage and capture of customer collateral (proof of employment, IDs).  Through V-DOCS, retailers send client agreements, secondary agreements (customer expectation forms, et al) and all other static counter-level ancillary documentation instantaneously in the form of an email.

It should also be noted that V-DOCS is designed to integrate with a 3rd party content management system or CRM if use of the V-DOCS CMS is not desirable.

Paperless

V-DOCS is an industry-first solution that significantly decreases the use of counter-level paper, and the costs associated with paper use.  Unlike traditional paper-based agreement processes, the V-DOCS paperless solution establishes precise time and location of signature

Additional documentation can be attached or scanned to the signed document and stored with that original.  For example, if local laws permit, it is possible to scan the client's ID or passport with any TWAIN compliant scanner.  Documentation such as proof of employment or other supporting documentation may also be attached (up to 10 megabytes per document).

Controlled Workflows

V-DOCS is configurable to require input in all signature boxes. This feature requires a strike or n/a be entered into any boxes which are optional, but ensures users are not inadvertently skipping signature locations.  As V-DOCS pulls data from other signed documentation, the system presents a stopgap insurance policy that ensures that all fields in ancillary documentation is accurately populated.

Documents may not be submitted multiple times to the V-DOCS Vault: V-DOCS can detect if a document has been previously sealed and will not permit a second submission.   In the event that a document must be resigned, the unsigned original must be resubmitted with signatures.

Integration Tool

Through secure and authorized access, third party systems can produce web forms that can be processed by V-DOCS. Third party applications are able to integrate into the agreement generation process by accessing accompanying pertinent data that is embedded in a retrievable format.  Point-of-sale systems, for instance, can automatically collect and populate all pertinent information to complete a sales transaction.

V-DOCS SaaS operates from a TIA-942 Tier III data centre.  Designed for telecom applications, the primary data centre is located in a safe, low seismic risk area located just 14 milliseconds from New York and 54 milliseconds from Western Europe.  Power protected through a high capacity in-line Uninterruptible Power Supply (UPS). Multiple-path power distribution, including maintenance bypass circuitry ensures non-stop service.  V-DOCS has the benefit of a multilevel backup strategy to ensure rapid recovery in the event of an unplanned service disruption.
